Program Registration Guidelines
Girl Scouts of Glowing Embers Council reserves the right to change or modify program activities as deemed necessary.
All troops/groups must meet girl/adult ratios as stated in Safety-Wise. Please list all adult names on registration forms, even if there is no fee for adults.
All girls participating in a Girl Scout program event must be registered with the Girl Scouts of the USA (GSUSA). Exceptions are family events, which are identified in the program description.
Tagalongs (siblings and other girls or boys who are not registered Girl Scouts) are NOT allowed to attend program events. They cannot be included in activities, or given supplies or snacks. Exceptions are family events, which are identified in the program description.
Out-of-council Girl Scouts may participate in all Glowing Embers programs for an added $2.00 charge per participant, if openings exist. Glowing Embers Girl Scout registrations are given priority.
The troop or group leader does not have to attend the event in order for members of the troop or group to participate. Parents or other adults may attend to fulfill the girl/adult ratio requirements.
Troop/group leaders should make sure all girls are made aware of the events and programs offered by GSGEC, as well as the cancellation procedures.
Make sure to complete the registration form in full (both sides). Incomplete registration forms may not be included in event registrations.
Full payment must accompany each event registration form unless otherwise noted. (An “Application for Learning Links Financial Assistance” may be included in lieu of payment.)
Financial aid for programs is available up to twice per year for a total of up to one-half a program’s fees.
Each event will have a deadline of approximately 30 days before the program date.
Late registrations will be accepted only if the program can accommodate additional participants. Please contact GSGEC to verify that space is available before sending in your late registration.
All programs work on a lottery system unless otherwise noted. At 5:00 PM the day of the deadline, all registrants of those programs that have exceeded capacity will be entered into a lottery. Troops will be randomly drawn until the program reaches maximum capacity. Those who are not selected will receive a Program Express Pass (PEP), which is described in detail below.
You will receive a confirmation of your registration after the program deadline. Late registrants will receive a confirmation at the time of registration.
If you are scheduled to attend an event but do not attend, any registration fees are forfeited. There will be no refunds if you cancel program attendance. A refund will be given if GSGEC must cancel the program. IMPORTANT NOTE: Remember that when you register for a program and don’t attend, not only do you lose money, but other girls were unable to attend because you were “holding” the spots. Include girls in the planning process to avoid excessive last minute cancellations.
Sudden illness or emergencies that prevent attendance will be considered on an individual basis. Refund or credit requests due to illness must be made in writing no later than seven days after the event. GSGEC is unable to refund or credit theater programs under any circumstances.
There are no refunds or exchanges for speciality patches received as part of program or event registration. |
